Top Ten Tips for September 2007...(Go back to Current Month)

Intro to the Top Ten Tips...

Each month, Tim posts his 'Top Ten Tips' for HR practitioners on various subjects. This month's subject is 'Internet Abuse...how to be fair, but firm, in cases of misuse.' A list of subjects for forthcoming months and links to previous subjects can be found at the bottom of this page.

  1. Job No. 1 is to have a well thought through business policy that addresses Internet Usage;
  2. The Policy should be constructed by input from Information Services (I.T.), Human Resources; Security and Line Management;
  3. The Policy should be referenced against current best practices in the marketplace. There is no need to spend extra money doing this...many good examples are available on the Internet;
  4. Determine whether Internet access is necessary for all or some of your employees; try not to tolerate ‘access creep’;
  5. Understand what site access detection/tracking facilities are available to the Company internally and how it will be used amongst HR-IR-Security;
  6. Agree whether certain sites (e.g. Hotmail; Aol Mail; Yahoo e-mail sites; Shopping sites etc.) will be available to employees or otherwise at the outset. It is easier generally to deny access at the beginning rather than retract it later;
  7. Communicate the policy, including all the business advantages of Internet access (e.g. Webex meeting facilities that save business travel expenses) as well as the disciplinary process and penalties for the most minor as well as the most major policy deviations;
  8. If an alleged abuse becomes apparent (unionized or non-unionized employees), investigate immediately, advising the appropriate managers and/or Stewards. Don’t guarantee confidentiality...it can’t be done effectively;
  9. Remember that every party has rights; treat all parties professionally, but do act promptly...don’t postpone;
  10. Enforce any pre-agreed discipline for proven transgressions, after acquiring legal advice; re-communicate the policy visibly and widely.
